INFORMATION RESEARCH SPECIALIST 1

 

Description:

 

The LANL Research Library is seeking temporary onsite Information Research Specialists to support a collection logistics, indexing, and inventory project. These positions will help coordinate boxed materials for offsite storage, maintain barcode and inventory records, support onsite indexing, and assist with quality control of outsourced indexed records before records are uploaded into library systems.

 

This role is a good fit for candidates who are detail-oriented, organized, experienced with data entry and/or logistics experience, and able to carefully follow established procedures. Library experience is helpful but not required.

 

Responsibilities include:

 

Track and coordinate boxes of documents prepared for offsite storage.

 

Create and maintain spreadsheets of box barcodes and inventory data.

 

Prepare boxes and materials for shipment, storage, or other approved handling.

 

Upload box and inventory data into an online system.

 

Communicate with an offsite storage vendor, LANL groups, and local project teams.

 

Help review and coordinate work completed by student workers or project assistants, without serving as an official supervisor.

 

Index reports onsite, including reports that may contain Controlled Unclassified Information.

 

Review indexed records received from an outsourced indexing vendor for accuracy, completeness, and consistency.

 

Required qualifications include strong attention to detail; accurate data entry experience; strong organizational skills; ability to follow detailed procedures and protocols; good written and verbal communication skills; experience using spreadsheets such as Microsoft Excel or similar tools; and ability to lift boxes up to 25 pounds.

 

Desired qualifications include experience with indexing, metadata entry, inventory tracking, or quality control, as well as experience following procedures for controlled information. 

 

Summary

 

Manages special records or archive collections and performs basic technical information research and retrieval from the collections to meet the information needs of Laboratory staff and external customers. Conducts basic information or historical research under supervision. Duties may include ordering, receiving, indexing, cataloging, preparing, and storing technical information, both published and unpublished, in all formats including electronic, assisting customers, conducting searchers, and providing information. Distributes information to customers following well-established procedures.

 

Developing or fundamental professional expertise, applies Laboratory policies and procedures to resolve a variety of issues. Utilizes standard principles, theories, concepts and techniques as recognized within the records management, archives, or library profession. Provides resolutions to an assortment of problems of moderately complex scope where analysis of situations or data requires a review of a variety of factors. Contributes to the fulfillment of projects and organizational objectives. Continually supervised during training, with regular supervision once trained. Follows established directions. Receives detailed instructions on new projects or assignments. Work is reviewed for accuracy, soundness of judgment and overall adequacy and while in progress. Uses judgment within defined practices and procedures to determine appropriate action.

 

Education

 

Position typically requires a minimum of two years related experience, or an equivalent combination of education and experience.
